Your mail stays in South Africa, on our servers, under your rules
The archive is built for the Protection of Personal Information Act. You remain the responsible party; we operate the archive under a signed retention agreement.
Hosted in South Africa
Stored on Nexa's own servers in a local data centre, with a nightly encrypted off-site copy. Never handed to a third-party cloud.
Per-person access
Each person sees only their own mailbox. Domain administrators you nominate can see the whole domain. Nobody else.
Everything logged
Every search, download, restore and export is recorded in an audit log your administrator can review at any time.
Legal hold and export
Freeze a mailbox or date range for a dispute, and export any person's mail as standard files for a data subject request or your lawyer.
Questions we get asked
Do we need to change anything in Outlook or on our phones?
No. Mail keeps flowing exactly as it does today. The only change we recommend is setting Outlook to keep 12 months of mail offline instead of everything, which is what makes it fast again. We do that for you during setup.
What happens to mail that was deleted before we signed up?
We can only archive what still exists. During the history import we take everything currently in your mailboxes, up to five years back. From the day archiving is switched on, nothing can be lost again.
Can staff see each other's mail?
No. Each person signs in with their own mailbox address and password and sees only that mailbox. You nominate one or more domain administrators who can search across the whole domain, and every search they run is logged.
What happens when someone leaves the company?
Their mailbox can be closed on the mail server as usual. The archive keeps their mail for the full retention period, and a domain administrator can search it, export it, or restore messages to a colleague.
Is five years fixed?
Five years is the default and suits most businesses. Accounting, legal and medical practices can choose 7 or 10 years. Messages older than the window are deleted automatically every night unless they are under legal hold.
What if we leave Nexa?
The archive is yours. We export it as standard .eml files, one per message, organised by mailbox and folder, which any mail system or archive product can read.
Does this replace backups?
It complements them. Backups restore a whole server to a point in time; the archive lets a person find one message from three years ago in a second. The archive itself is backed up off-site every night.
