Privacy policy

Last updated: 2 October 2026

This privacy policy explains what personal information Nexa Webdesign CC collects when you use this website or our services, how we use it, and the choices you have. It should be read together with our POPI Act notice, which sets out our obligations under South African law in more detail.

Information we collect

How we use it

Nexa Mail Archive

Clients who subscribe to the Mail Archive authorise us to keep a copy of every email sent and received on their domain for the agreed retention period, 5 years by default. The client decides which domains are archived, who may search the archive, how long mail is kept, and whether a legal hold applies. Every search, download, restore and export is recorded in an audit log the client can review. Mail older than the retention period is deleted automatically. On cancellation, the archive is returned to the client as standard files and then deleted from our systems. If you are an employee of a client and have a question about mail held in the archive, please contact your employer, who is the responsible party for that information.

Cookies

This website sets no tracking cookies. Our cookies policy explains the small number of functional cookies that may be set by the hosting platform.

Sharing

We share personal information only with suppliers who help us run our services (data centre, domain registrar, certificate authority, backup storage), each under agreement to protect it, and with authorities where the law requires. We do not sell personal information.

Retention

Enquiry details are kept for 12 months. Client account and billing records are kept for the duration of the relationship and five years afterwards. Server logs are kept for 90 days. Hosted content and archived mail are kept as described above.

Your choices and rights

You may ask to see, correct or delete the personal information we hold about you, object to its use, or withdraw consent for marketing. Write to hello@nexawebdesign.com or to our information officer, Phillip van Niekerk, at 3 Oom Kalie Street, Pellissier, Bloemfontein, 9301. You may also complain to the Information Regulator of South Africa.

Changes

We may update this policy from time to time. The date at the top shows when it was last changed.
